Your Tasks:
Organize and coordinate the logistics for board member meetings, including booking meeting rooms, arranging virtual meeting details, and managing diaries
Coordinate with the offices of directors to schedule meetings and monitor director interactions
Serve as a local contact for senior executives visiting the Frankfurt office
Coordinate a high volume of domestic and international travel and process expense reports promptly while adhering to internal policies and procedures
Manage a variety of vendor-related administrative tasks, such as invoice processing and oversight of vendor management
Offer administrative assistance to colleagues within the International Management and Corporate Communications divisions
Conduct general tasks such as preparing correspondence, organizing files, entering data, updating contact lists, processing documents and assembling pre-meeting materials
Maintain an understanding of the firm's policies and procedures, and learn how to utilize the key tools and applications
Your Profile:
A minimum of three years' experience in a PA, Executive Assistant, or administrative support role within a comparable professional office setting is required
Skilled in communicating with individuals at all levels, including C-Suite executives
Excellence in multitasking, written and verbal communication, and organization is essential
Capacity to thrive in a fast-paced environment with varied activities and the ability to assist managers and the EO structure
Proficiency in Word, Excel, Outlook, and PowerPoint
Fluency in English, Proficiency in German is optional
